1. Organizer

All retreats are organized by Adventures & Wellness ApS, CVR No. 4623-2003, registered in Denmark.

Adventures & Wellness ApS acts as facilitator and organizer. We purchase and coordinate services from third-party suppliers including lodges, safari operators, dive centers, transport providers and other local partners and package these together with our own hosted wellness and movement sessions.

By booking a retreat, you agree to these Terms & Conditions.

2. Booking Confirmation

A booking becomes binding once:

  • A booking form is submitted, and

  • Payment (either full payment or first installment) is received.

You may choose:

  • Full payment at booking, or

  • Payment in installments (if offered for your departure)

Installment availability depends on booking timing.

3. Payment Structure

Standard Installment Structure

  • 1/3 of the total retreat price at booking

  • 1/3 due on the date specified in your confirmation

  • Final 1/3 due before departure

Exact due dates are stated in your booking confirmation.

For bookings made closer to departure, we reserve the right to require:

  • Two installments, or

  • Full payment at booking

All prices are stated in DKK and include applicable taxes where required.

International flights are not included.

4. Late or Missing Payment

If an installment is not paid by the due date:

  • A written reminder will be issued

  • A 7-day grace period applies

  • A final 7-day notice may follow

If payment remains outstanding after 14 days total:

  • Your booking may be cancelled

  • All payments made are forfeited

5. Cancellation by Participant

All cancellations must be submitted in writing.

Refund structure:

  • 90 days or more before departure → 80% refund

  • 60–89 days before departure → 40% refund

  • Less than 60 days before departure → non-refundable

Refunds apply to the retreat price only.

Flights and independently arranged services are your responsibility.

6. Cancellation by Organizer

We reserve the right to cancel a retreat if:

The minimum participant number is not met

  • Force majeure conditions arise

  • Safety considerations make the retreat unviable

  • Minimum participant numbers vary by retreat.

For 2026 departures:

  • Maldives 2026 → Minimum 3 participants

  • Safari 2026 → Minimum 6 participants

We may cancel due to insufficient participants up to 60 days before departure.

If we cancel:

  • A full refund of payments made will be issued

  • No additional compensation will be provided

7. Force Majeure

We are not liable for cancellation, delay, or modification caused by events beyond our reasonable control, including but not limited to:

  • Natural disasters

  • Extreme weather

  • Political unrest

  • Government restrictions

  • Border closures

  • Pandemic-related disruptions

  • Supplier insolvency

  • Refunds in such cases will depend on recoverable amounts from suppliers.

8. Participant Requirements

Participants must:

  • Be at least 18 years old

  • Be in adequate physical condition

  • Feel comfortable in water for ocean-based retreats

  • Provide medical clearance for diving where applicable

You are responsible for ensuring you are medically fit to participate.

We reserve the right to refuse participation or remove a participant from activities if continued participation poses a safety risk.

No refund will be issued in such cases.

9. Travel Insurance

Comprehensive travel insurance is mandatory.

Insurance must cover:

  • Medical expenses

  • Emergency evacuation

  • Trip cancellation

  • Diving activities where applicable

10. Travel Documents & Health Requirements

Participants are responsible for:

  • Valid passport

  • Visa requirements

  • Vaccinations

  • Entry requirements for the destination country

We are not responsible for denied entry due to missing documentation. We guide our participants in FAQs section.

11. Program Adjustments

Itineraries may be adjusted due to:

  • Weather conditions

  • Marine or wildlife safety

  • Operational requirements

  • Local regulations

Such changes do not constitute grounds for refund.

12. Third-Party Services

Certain services are provided by independent third-party suppliers.

We are not liable for acts, errors, delays, or omissions by such suppliers.

13. Liability Limitation

Participation in outdoor and nature-based activities involves inherent risks.

Our total liability is strictly limited to the total amount paid for the retreat.

We are not liable for indirect or consequential losses.

14. Personal Belongings

Participants are responsible for their personal belongings at all times.

15. Complaints

If you experience an issue during the retreat, you must notify us immediately so we have the opportunity to address it on-site.

16. Media & Photography

Photos and videos may be taken during retreats.

By participating, you consent to the use of such material for marketing purposes unless you notify us in writing prior to the retreat that you wish to be excluded.

17. Data Protection

Personal data is handled in accordance with applicable data protection laws.

18. Governing Law

These Terms & Conditions are governed by Danish law.

Any disputes shall be resolved under Danish jurisdiction.
